A dental clinic in JLT was closing 12 percent of dental implant inquiries. They were warm leads. They were just not getting closed. We added 5 follow-up touches over 21 days. Close rate moved to 26 percent on the same ad spend.

Why dental implant decisions take 21 days

An implant is AED 5,000 to 12,000 per tooth. It involves surgery. It involves time off work. It involves a conversation with the partner or family. Almost no one walks in within 48 hours. The clinics that follow up for 21 days own this category.

The 7-touch sequence

Day 0: First WhatsApp reply inside 10 minutes. Quote a price range honestly. Offer a 20-minute consultation slot. Ask one question that requires a reply ("Is this for one tooth or multiple?").

Day 1: If no reply, send a short voice note from the dentist. 30 seconds. Just say hi, mention you have time tomorrow, ask if any question is blocking them.

Day 3: Value message. Send a short before-and-after image of a similar case (with patient consent) or a 60-second clinic walkthrough video. No price. No close.

Day 7: The question. "Hi Sarah, just want to check in. Are you still considering an implant or have you decided on a different option? Either way is fine, just helps me know if I should hold a slot."

Day 10: Education. Send a short FAQ document covering the 3 most common implant questions: healing time, payment plans, whether they need bone grafting first.

Day 14: Social proof. Send a short quote from a similar past patient. Real, with permission.

Day 21: The soft close. "Last message from me on this. I have one slot next Tuesday at 3pm if you want it. Otherwise I will close the file and stop messaging." This is the message that recovers most of the ghosted leads.

What stops most clinics doing this

Three things. First, no one owns the WhatsApp inbox after day 2. Second, the messages are not templated so they take 15 minutes each to write. Third, the team thinks following up too much annoys patients. In practice the opposite is true.

The setup

We put the 7 messages into a WhatsApp Business broadcast template, scheduled via a simple cron job that triggers when a lead hits a status in the CRM. Once set up, it runs on its own. Total time per lead: under 90 seconds across all 7 touches.

The point

Dental implant patients in Dubai close on day 14 to 21, not day 1 to 2. The clinics that follow up for 21 days take the bookings the clinics that stop on day 2 already paid for.
